What Ocasion is, who it is for and what changes
Ocasion is a full-service corporate events operation powered by artificial intelligence. It works as your company's outsourced events team: it turns a brief into a real event through venue and supplier curation, negotiation, coordination and execution. You arrive at your own event as a guest.
Neither: Ocasion is a full-service operation that takes on the whole event, from brief to execution. A marketplace lists venues for you to hire and coordinate on your own; Ocasion curates, negotiates and coordinates execution for you, and the website does not take bookings or payments. And unlike a traditional agency, Ocasion uses AI and the data from every event it delivers to build proposals faster and more precisely.
What makes Ocasion different is one accountable owner for the event, from brief to execution, with AI and human judgment working together. AI speeds up briefing, research and proposals; people curate, negotiate with suppliers and look after the delivery standard. Every event delivered generates data (briefs, budgets, suppliers, negotiations and feedback) that makes the next delivery faster and more precise, and recurring volume with suppliers strengthens negotiation.
Ocasion is for companies that need to deliver corporate events without building an events operation of their own: startups in growth, B2B tech companies, companies with a recurring events calendar, communities and venture capital funds. The people who usually reach out are founders and CEOs, fund partners, HR and people teams, marketing and executive assistants.
Ocasion was founded by Victor Wagner Vasconcelos Alves, the company's CEO. Ocasion is based in São Paulo, Brazil.

From the brief to the day of the event
Ocasion works in four stages: brief, curation, negotiation and execution. In the brief, a short conversation sets the goal, audience, format, date and budget. In curation, Ocasion selects venues and suppliers that fit the event and shows the trade-offs of each option. In negotiation, price, scope and terms are settled before anything is signed. In execution, the team coordinates the timeline, suppliers, setup and the day of the event. You receive a proposal with venue, timeline, visual direction and investment, approve the decisions that matter and arrive at the event as a guest.
Yes, your company approves the venue, from options Ocasion selects for the goal of the event. Each option comes with its trade-offs explained, and the decision is made together with the Ocasion team, which negotiates the terms before anything is signed. There is no direct booking on the website: the published venue portfolio is a reference, and choosing and negotiating the venue are part of the service.
Yes, when it makes sense for your event, Ocasion arranges a visit to the venue before the decision.
Ocasion runs corporate events: offsites, kickoffs, company celebrations and year-end parties, launches, client and portfolio gatherings, happy hours, workshops and trainings. Every format starts from the goal of the event, not from the venue.
The earlier the better: more lead time means more venue and supplier options. For mid-range and premium events, the ideal is to start quoting 6 to 8 weeks ahead. If the date is close, send the brief anyway: the team will assess what is possible in the time available.
Ocasion handles it: the team coordinates the suppliers and the day of the event, with one person accountable from brief to execution. You do not have to coordinate suppliers on the day, and that person answers for anything that does not go as planned.
How Ocasion charges and how payment is agreed
Ocasion charges a service fee on the value of the event, around 20% of the value it manages. The fee covers curation, negotiation with suppliers and coordination of execution, and it appears in the proposal alongside the event cost, before anything is hired.
The cost depends on the format, the number of guests, the venue and the suppliers, and the proposal shows the full investment before anything is hired. It includes the event cost and the Ocasion service fee, agreed with you. Sending a brief carries no commitment.
Payment and invoicing terms are agreed in the proposal, following your company's policy. Nothing is booked or paid on the website. When the company pays on corporate terms, Ocasion can, in some cases, advance payments to suppliers.
