About Ocasion
Ocasion is a full-service corporate events operation powered by artificial intelligence. It works as your company's outsourced events team, from brief to execution. You arrive as a guest.
What Ocasion does
Ocasion turns your company's brief into a real event. It understands the goal of the event, curates venues and suppliers, negotiates price, scope and terms, and coordinates execution, with one person accountable from the brief to the day of the event.
Artificial intelligence speeds up briefing, research and proposals; people curate, negotiate with suppliers and look after the delivery standard. Every event delivered generates data (briefs, budgets, suppliers, negotiations and feedback) that makes the next proposal faster and more precise.
Ocasion was founded by Victor Wagner Vasconcelos Alves, the company's CEO, and is based in São Paulo, Brazil, with service in Portuguese and English. Meet the founder
How Ocasion works
Four stages, with one accountable owner from start to finish.
Brief
A short conversation sets the goal, audience, format, date and budget of the event.
Curation
Ocasion selects venues and suppliers for the goal of the event, not just for availability or looks, and shows the trade-offs of each option.
Negotiation
Price, scope and terms are negotiated before you sign anything, drawing on experience and recurring volume with suppliers.
Execution
The team coordinates the timeline, suppliers, setup and the day of the event. You arrive as a guest.
You receive a proposal with venue, timeline, visual direction and investment, follow the progress and approve the decisions that matter. The operation stays with Ocasion.
Ocasion charges a service fee of around 20% of the managed event value, shown in the proposal alongside the investment for each item, before anything is hired. Sending a brief carries no commitment.
Who it is for
For companies that need to deliver corporate events without building an events operation of their own: startups in growth, B2B tech companies, companies with a recurring events calendar, communities and venture capital funds.
The people who usually reach out are founders and CEOs, fund partners, HR and people teams, marketing and executive assistants. Common formats: offsites, kickoffs, company celebrations and year-end parties, launches, portfolio gatherings, happy hours, workshops and trainings.
What Ocasion is not
It is not a marketplace or a venue directory. The website does not take bookings or payments: the published venue portfolio is a reference, and choosing and negotiating the venue are part of the service.
It is also not a traditional agency without technology, nor booking software.
Have a corporate event coming up?
Send a brief with the goal, format, number of guests, date and budget. Ocasion gets back to you with the next steps, and sending a brief carries no commitment.
